The Right Way: How RCI Insurance Exceeds Expectations, Projects Professionalism with RightSignature

RCI Insurance Group is an independent insurance agency in Claremore, Oklahoma, with a serious commitment to its customers. Equipped to handle insurance for your home, car or business, RCI has thrived for over 40 years with the motto, “Exceeding expectations in all of our relationships.”

RCI has found a new way to exceed expectations with its clients by offering RightSignature electronic signatures to simplify all its forms and signed documents. And within RCI, the company has found that forms that used to take days, weeks or even months to get signed are now almost always returned complete and without errors within one day. RightSignature’s Matt David caught up with Amber Helmuth, personal lines manager of RCI, to learn more about how RightSignature has helped them deliver the best experience possible for their clients.

What’s the story behind RCI Insurance? How did it get started, and how did you get to where you are today?

Amber Helmuth: RCI Insurance Group was established in 1972. We sell and service many different types of personal and commercial insurance, life and health insurance, financial planning services, and we provide limited risk management services. And after a change in ownership, RCI Insurance has grown from 3 employees in 1994 to almost 20 employees today.

Our motto is “Exceeding expectations in all of our relationships,” and living by this has contributed largely to the growth of the agency. We work hard to earn and keep the respect of our clients, as well as our companies.

What did your process look like before RightSignature? What frustrations did you have with it?

AH: Before RightSignature, the forms that we needed to get signed would be sent to the clients by mail for them to sign and return in a postage-paid envelope — if they didn’t spill coffee on them before they got them signed and sent back to us.

We could also send the paperwork by fax, but it was usually so distorted that it was unreadable when (and if) we got it back. Or we could email the forms and hope that the email didn’t go to the spam folder or accidentally get deleted — and that the clients would actually find time to print the forms, sign the forms, scan the forms back into their computers and email them to us. A few clients would also stop by the office to sign the forms if they didn’t forget or have something else come up.

If you have ever tried to get a signature from a client using these methods, you know that the turnaround time can be days, weeks or even months in some cases, and there is a lot of wasted time spent calling and reminding the clients that you need signed forms.

How does RightSignature help your process today?

AH: Now, we use RightSignature to send our documents to clients. It’s easy to use — you simply upload the document that you want to send for signatures, enter the client’s name and email address, and drag a box to the areas that you want signed, initialed and/or dated. Since I have been using RightSignature, I typically get signed forms back within one day. I’ve even had some sent back within five minutes of sending!

My clients love it and have given me great reviews on it. It alleviates the hassle on their end, it is easy to use, and it definitely increases production in the agency, as we can now spend more time on the important things instead of trying to get a piece of paper signed.

How RightSignature Helps Educators Keep the Focus on Students — Not Paperwork

YES Prep is a network of public, tuition-free, open-enrollment charter schools in Houston, TX. For over 15 years, YES Prep’s schools have prepared students in Houston’s most disadvantaged communities with the study skills and coursework necessary to get accepted into college—and, once accepted, succeed.

YES Prep uses RightSignature to cut through the morass of paperwork and get things done quickly and easily. Lyndsay Ferguson, Senior Director of Talent Support at YES Prep, explains:
We use RightSignature across several different departments at YES Prep. For starters, our Talent Support (Human Resources) team uses RightSignature during onboarding to send every new employee offer letters and other required paperwork related to their new role on the team. As a result, everyone at YES Prep knows RightSignature!”
That familiarity has helped RightSignature spread across YES Prep’s entire organization, and the schools use RightSignature electronic signatures whenever they need to hire a contractor or execute a Memorandum of Understanding. But the biggest impact is in YES Prep’s Teaching Excellence program, a specialized in-house team for alternative certification to strengthen the skills and processes of YES Prep’s committed teachers.

“Now we can easily track a variety of documents that are required for the certification process,” says Ferguson. “It lets our program coordinators focus on critical work and our students, rather than keeping track of various papers through email, fax, etc.”

In the 2015 school year, YES Prep is building on their successes in the Houston area with a new branch of schools in Memphis, TN. Ferguson acknowledges that there are several  challenges that come with this expansion, but she is not concerned. “The ability to use a tool like RightSignature to replicate our previous successes is a huge benefit to our organization.”

Sylvan Learning


A national tutoring franchise with over 800 locations built across 30+ years of success, Sylvan Learning has built their organization on the premise of caring for each student individually. Recognizing that every student’s needs, interests and learning experience is going to be different, Sylvan creates an individualized, custom curriculum for every single student.

Sylvan takes on such a daunting task in part by utilizing technology, such as their immersive SylvanSync app for iPad. And since Sylvan strives to minimize the time and money spent on anything besides its students, it relies on RightSignature to simplify signatures on document like franchisee agreements and marketing plans.

Amy Przywara, Sylvan’s VP of Marketing, shared that process with us:
“With over 300 individual franchisees, it’s important for us to make the signing process simple and accessible. Using RightSignature helped us streamline this often-cumbersome process.... We used it to send two different funding agreements to all 300 of our franchisees for our annual marketing drive. It’s a complicated agreement, with lots of places to check and sign, and with at least 600 documents at once, it was completely unfeasible to continue to do by paper. This year, using RightSignature, it was great.”
Przywara says that, like YES Prep, Sylvan’s initial success with RightSignature has led them to consider new ways it can help make the business end of education go more smoothly. “Next year, we’ll make a brand new agreement from scratch, knowing how to get the most out of RightSignature. I can also start to see see the other documents I can get signed with RightSignature.”

Turtle Rock Preschool


Turtle Rock Preschool is widely considered one of the premier early-childhood education schools in Orange County, CA. Owner Maajed Abahusayn attributes this to their focus on students: “We have a great and well-deserved reputation, and it’s come from creating a warm and enriching environment for children and their families.”

With a strong reputation comes intense demand, however, and Turtle Rock Preschool currently has an admissions waiting list of over 250 families. It used to be an ungainly process to manage the waiting list: families had to pay their waiting list deposit and fill out, sign and return an application. That’s lots of extra work for Turtle Rock.

Says Abahusayn, “One family would hand in a paper form with a check attached. Another would write down a credit card number. We had to file the paperwork and process payments in two or three different sources, then reconcile everything in our records once the payment cleared.” It was slow, expensive and frustrating for parents who couldn’t receive immediate confirmation that their child had been successfully placed on the waiting list.
