5 Docs That Belong in Your Employee Onboarding Packet

By: Steve Stormoen / Wednesday, March 18, 2015

To bring new hires up to speed quickly, you need a comprehensive employee onboarding packet with your most important documents. Which documents belong in this packet? Here are 5 essential docs to include, each of which you can get signed online in minutes with RightSignature.

1. Form I-9

The first document in your employee onboarding packet, IRS Form I-9 (the Employment Eligibility Verification Form) establishes your new hire’s identity and confirms his or her right to work in the United States. After completing the document, he or she must present appropriate identification, such as a passport, by the time they start work.

The numerous fields of Form I-9 cause many new employees to fill it out incorrectly or incompletely. RightSignature helps eliminate errors by allowing employers to make filling fields mandatory and include helpful instructions.

2. Employee Handbook

An employee handbook introduces a new hire to your company’s culture and policies. It is important to get your new hire’s signature to verify that he or she has read and understood all your company’s rules.

However, printing handbooks is expensive, especially if your company has remote employees or updates policies regularly. Instead, put your employee handbook in your employee onboarding packet, then use RightSignature to get it signed online. This one fix will eliminate your printing costs completely.

3. Benefits Approval Form

Know your family’s annual healthcare costs? Or the difference between an HMO and a PPO? Probably not, which makes benefits approval forms time consuming.

Choosing between health, vision, dental and retirement plans on the spot is the most intimidating part of the onboarding process, so these documents are frequently taken home — and forgotten. RightSignature sends automatic reminders on every document, ensuring that your forms are signed comfortably but promptly.

4. Direct Deposit Form

With direct deposit, employees receive paychecks directly in their bank account, saving HR departments and bookkeepers the headaches of lost paychecks and printing and shipping costs. RightSignature adds more convenient by allowing your new employee to fill out and sign a direct deposit form online.

A direct deposit form also often requires a voided check from the employee to complete. That’s easy to provide with RightSignature. Using the Request Attachments feature by RightSignature, your new hire can attach a photo of a voided check to his or her direct deposit form, making it easy to sign and impossible to lose.

5. Non-Disclosure Agreement

If your new hire will be handling any company trade secrets or intellectual property, a Non-Disclosure Agreement (NDA) is a necessary precaution. In fact, more companies to have all employees sign an NDA to promises not to disclose or disseminate protected company information.

RightSignature makes it easy and inexpensive to have NDAs signed and keep the records afterwards. For RightSignature users, this means plenty of benefits in terms of legal protection.

These 5 documents combine government paperwork, employee service and legal protection to let new hires acclimate quickly and comfortably to your company, making the employee onboarding process painless. RightSignature makes onboarding new employees even easier, with fast and secure online signatures facilitating onboarding.

RightSignature can even let you package these documents together to make a single employee onboarding packet that you send all together, while making it easy to search and sort each document individually. Try RightSignature for free today.

Must say, in less than 30 minutes I felt comfortable with the product, its options, and creating 5 key template documents critical to our business applications, that each required signature authentication. Email alerts to tell us if and when recipients opened, and further when documents were signed/ executed for our review means we've implemented multi-tasking capabilities to key personnel. Very happy and priced right!"
We’re thrilled to receive this award because it reflects our serious commitment to our customers, both through our lauded support team and our determination to offer the very best digital signature software possible. We at RightSignature would like to thank you, our customers, for choosing us for this Users’ Choice award.

Getting the Most out of Your Documents: A Deeper Look at Request Attachments and Collect Payments

RightSignature has a proud tradition of innovation with first-to-market features that quickly become industry standards, such as the first hand-drawn e-signatures placed directly on your document. These early innovations focused on making the documents you sign on your computer look and act just like paper documents, leading to increased user confidence, trust and ease of use.

Today, scads of official and government documents are now authorized for e-signature, and e-signatures have started to supplant paper documents for good. Our past innovations have succeeded wildly. But as a company that values innovation, we're already looking for the next nut to crack.

Our latest first-to-market features offer exactly that. Request Attachments and Collect Payments shift our focus to some cluttered, complicated parts of a business deal, like adding money or supplemental materials. These are the parts of your legally binding agreements which can't fit on a piece of paper — but do fit simply and snugly inside a single RightSignature document workflow.

Request Attachments: Some documents need more than text

A Direct Deposit Form requires a voided check. An employee onboarding form needs a photocopy of the signer’s driver’s license. Such requests mean a mishmash of extra pages and papers of different sizes, increasing the possibility that these additions get lost.

The Request Attachments feature expands what you can receive from your signers. Say a wedding photographer needs a reference photo of the couple to prepare his shoot or an angel investor needs to request a proof of concept from a startup she’s considering. Request Attachments streamlines their workflow by placing their needed attached file directly inline on the signed document. This allows for better legal compliance, quicker transaction completion, and a more efficient experience for both sender and signer.

Requesting an attachment to add to your RightSignature document is as easy as asking signers to write their name — and will quickly become just as commonplace. With Request Attachments, large, complicated documents become much simpler, and the next $100 million paper signature blunder can be avoided.

Collect Payments: Cash rules everything around me

Many signed documents represent a promise to exchange money or future payment information. So why not include a payment box directly on the document, which the signer can fill out like any other RightSignature text field or checkbox?

With Collect Payments enabled, you can add an easy payment button to your document. You can choose to collect either an immediate one-time payment or their credit card information for future billing, and your signer completes their payment information while signing the document. If you don’t get paid, the document can't get signed.

You avoid having to verify the document and the payment separately and match them among your records. Your signers complete a secure, legally binding document and provide their payment information in one easy step, available only with RightSignature. Your business transaction gets a little easier for both of you.

Collect Payments also makes it easy to get a signed document for more complicated transactions like online rentals or service retainers transactions with an attached document authorizing the deal for both parties. This means better compliance and legal protection for your business every step of the way.

RightSignature is the fastest, easiest way to get documents signed online. We also aim to be the smartest. New features such as Request Attachments and Collect Payments are our specialty, and with every RightSignature innovation that becomes industry standard, we only get more excited for the next big thing to come.
